The Contract Coordinator, Development will be responsible for drafting construction documents (i.e., contracts, consulting agreements and change orders), processing vendor invoices, collecting and storing lien waivers, COIs, and other documentation. The Regional Contract Administrator will also be responsible for tracking contract status and communicating with the Fort Washington Corporate office to provide as-needed support to the regional Development team.

RESPONSIBILITIES

  • Maintain project notes
  • Manage project documentation in Velocity and confirm proper records are maintained for all developments
  • Secure new vendor information such as W-9 and ACH information
  • Prepare, manage and execute various types of contracts and project documentation in a timely manner
  • See contract through workflow including working with legal on any contract negotiations as needed
  • Maintain tracker and audit file through life of each contract
  • Coordinate invoices with the contracts; secure back-up docs as needed and provide contract coding to accounting for entry into Yardi
  • Interface with contractors and third-party managers and provide additional support as needed
  • Collect, vet and store contract supporting documentation
  • Set up and maintenance of tenant jobs within Yardi in coordination with development managers and leasing team
  • Coordinate the “Close Out” process of completed developments and ensure all documentation is received and financial records are finalized
  • Maintenance of non-financial project information in development database
  • Support all phases of the Development from acquisition through lease-up

QUALIFICATIONS

  • Bachelor’s degree preferred
  • Minimum of 1 year of administrative and/or construction/real estate experience a plus
  • Possess strong organizational and time-management skills
  • Ability to manage multiple projects and prioritize work based on varying conditions
  • Excellent verbal, written and problem-solving skills
  • Proficient computer skills including MS Outlook, MS Word, MS Excel; Yardi a plus
  • Understanding and interpretation of basic real estate, construction, procurement, and accounting terminology
  • Experience reviewing legal documentation
  • Ability to communicate with all levels of Associates
  • Willingness to take on new challenges, responsibilities, and assignments
  • Professionalism, taking responsibility for decisions, actions, and results
  • Ability to work independently or as part of a team
  • Positive attitude
